Toward Easy Deposit: Lowering the Barriers of Green Open Access with Data Integration and Automation

This article describes the design and development of an interoperable application that supports green open access with long-term sustainability and improved user experience of article deposit.

The lack of library resources and the unfriendly repository user interface are two significant barriers that hinder green open access.

Tasked to implement the open access mandate, librarians at an American research university developed a comprehensive system called Easy Deposit 2 to automate the support workflow of green open access.

Easy Deposit 2 is a web application that is able to harvest new publications, to source manuscripts on behalf of the library, and to facilitate self-archiving to a university’s institutional repository.

The article deposit rate increased from 7.40% to 25.60% with the launch of Easy Deposit 2. The results show that a computer system can implement routine tasks to support green open access with success.

Recent developments in digital repository provide new opportunities for innovation, such as Easy Deposit 2, in supporting open access.

Academic librarians are vital in promoting “openness” in scholarly communication, such as transparency and diversity in the sharing of publication data.

An Interactive Map for Showcasing Repository Impacts

Digital repository managers rely on usage metrics such as the number of downloads to demonstrate research visibility and impacts of the repositories. Increasingly, they find that current tools such as spreadsheets and charts are ineffective for revealing important elements of usage, including reader locations, and for attracting the targeted audiences.

This article describes the design and development of a readership map that provides an interactive, near-real-time visualization of actual visits to an institutional repository using data from Google Analytics.

The readership map exhibits the global impacts of a repository by displaying the city of every view or download together with the title of the scholarship being read and a hyperlink to its page in the repository.

We will discuss project motivation and development issues such as authentication with Google API, metadata integration, performance tuning, and data privacy.

Article Deposit Services in Support of Federal Agency Public Access Requirements

INTRODUCTION

Academic libraries have experimented with a variety of services to encourage article deposit to institutional repositories, with varying degrees of success. Universities now face the challenge of meeting federal agency public access requirements.

Following the White House Office of Science Technology and Policy public access directive in 2013, Oregon State University (OSU) initiated an article deposit service to help faculty meet funding agency requirements and facilitate deposit of articles to both federal agency repositories and the institutional repository.

This case study describes the article deposit form developed by the library to encourage article deposits to the institutional repository and federal agency repositories, the processes and people put in place to request and deposit the articles, and the impact of the service on the number of articles deposited to federal agency repositories.

DESCRIPTION OF PROJECT

In the two years since the article deposit service was initiated, a total of 102 articles have been deposited by the library to the PubMed Central or PAGES federal agency repositories.

The inclusion of a request for faculty to indicate federal funding in the article deposit form has not resulted in increased article self deposits. Identifying and requesting National Institutes of Health and U.S. Department of Energy funded articles from faculty for deposit to the institutional repository and to the agency repositories has also not received substantial uptake.

The majority of articles that have been deposited to federal agency repositories by the library were received after library staff reviewed bibliographies of grant funded research for compliance with public access policies.

NEXT STEPS

As a result, the library is now working with the university office of research to promote a service that asks faculty for a bibliography of their articles that result from NIH or DOE funding, identifies those that need to be deposited to the agency repositories, and provides a link to the library’s article deposit form for them to initiate article deposits to the institutional repository and to agency repositories.
