Social engagement and institutional repositories: a case study

This article explores the community reach and societal impact of institutional repositories, in particular Griffith Research Online (GRO), Griffith University’s institutional repository.

To promote research on GRO, and to encourage people to click through to the repository content, a pilot social media campaign and some subsequent smaller social media activities were undertaken in 2018.

After briefly touching on these campaigns, this article provides some reflections from these activities and proposes options for the future direction of social engagement and GRO in particular, and for institutional repositories in general.

This undertaking necessitates a shift in focus from repositories as a resource for the scholarly community to a resource for the community at large. The campaign also highlighted the need to look beyond performance metrics to social media metrics as a measure of the social and community impact of a repository.

Whilst the article is written from one Australian university’s perspective, the drivers and challenges behind researchers and universities translating their research into economic, social, environmental and cultural impacts are national and international.

The primary takeaway message is for libraries to take more of a proactive stance and to kick-start conversations within their institutions and with their clients to actively partner in creating opportunities to share research.

From Meow to ROAR: Expanding Open Access Repository Services at the University of Houston Libraries

INTRODUCTION

The rapidly changing scholarly communication ecosystem is placing a growing premium on research data and scholarship that is openly available. It also places a growing pressure on universities and research organizations to expand their publishing infrastructures and related services.

DESCRIPTION OF PROGRAM

To embrace the change and meet local demands, University of Houston (UH) Libraries formed a cross-departmental open access implementation team in 2017 to expand our open access repository services to accommodate a broad range of research products beyond electronic theses and dissertations (ETDs).

The result of this effort was the Cougar Research Open Access Repositories (Cougar ROAR), a rebranded and expanded portal to the UH Institutional Repository, and the UH Dataverse, which disseminates the full range of scholarly outputs generated at the University of Houston.

This article describes the team’s phased activities, including internal preparation, a campus pilot, rebranding, and a robust outreach program. It also details the team’s specific tasks, such as building the Cougar ROAR portal, developing ROAR policies and guidelines, enhancing institutional repository functionality, conducting campus promotional activities, and piloting and scaling a campus-wide open access program.

NEXT STEPS

Based on the pilot project findings and the resulting recommendations, the team outlined key next steps for sustainability of the UH Libraries’ open access services: continuation of the campus CV service, establishment of campus-wide OA policy, further promotion of Cougar ROAR and assessment of OA programs and services, and investment in long-term storage and preservation of scholarly output in Cougar ROAR.

Checking Rights: An IR Manager’s Guide to Checking Copyright

Institutional repository (IR) managers often find themselves providing copyright guidance to faculty who wish to self-archive their published scholarship or to students depositing theses and dissertations. As IR managers may not be copyright experts themselves, making determinations and checking rights can be difficult and time-consuming.

This article is intended as a practical guide to describe common types of material that can be placed in an IR as well as potential copyright issues and other considerations for each type. Material types covered include book chapters, journal articles, conference proceedings, student papers, electronic theses and dissertations, research data sets, historical and archival materials, and oral histories.

Underlying issues such as copyright ownership, work made for hire, and the legal definition of publication are also discussed. For easier reference, the appendix contains a chart with brief descriptions of issues and resources.

Collaborating Across Campus to Advance Open Access Policy Compliance

In 2018, the Data and Scholarly Communication Services Unit (DSCS) at the University of Colorado Boulder began implementing two open access (OA) policy workflows with the aim of increasing content in the institutional repository CU Scholar, expanding awareness of the campus OA policy that was passed in 2015, and decreasing the burden on researchers for participation in the policy.

DSCS leveraged collaborative relationships with other library departments and campus units in order to mobilize the data, infrastructure, procedures, and documentation to execute these workflows.

The Directory of Open Access Journals (DOAJ) workflow identifies existing open access publications by CU Boulder faculty and mediates deposit in order to make them available in CU Scholar. The liaison outreach workflow partners with liaison librarians to request from faculty preprints and author’s final manuscripts of publications in which the publisher version may have copyright restrictions.

At present, the DOAJ workflow has resulted in 754 articles deposited in CU Scholar, and the liaison outreach workflow has resulted in 91 articles deposited. Each of these workflows pose challenges that have required flexibility, experimentation, and clear communication between stakeholders.

This case study, which includes detailed descriptions of both open access policy workflows, initial results, and plans for future implementation, may serve as a guide for other institutions wishing to adopt and/or adapt institutional repository workflows and forge collaborative relationships to further open access initiatives in their local context.

Can Accessibility Liberate The “Lost Ark” of Scholarly Work?: University Library Institutional Repositories Are “Places of Public Accommodation”

For any body of knowledge – an ark of power or a corpus of scholarship – to be studied and used by people, it needs to be accessible to those seeking information. Universities, through their libraries, now aim to make more of the scholarship produced available for free to all through institutional repositories.

However, the goal of being truly open for an institutional repository is more than the traditional definition of open access. It also means openness in a more general sense. Creating a scholarship-based online space also needs to take into consideration potential barriers for people with disabilities.

This article addresses the interaction between the Americans with Disabilities Act (ADA) and university academic library based institutional repositories. This article concludes that institutional repositories have an obligation to comply with the ADA to make scholarly works available to potential users with disabilities.

For managers of institutional repositories, following the law is an opportunity to make scholarship even more widely available. University open access institutional repositories need to be accessible to existing and potential disabled users. However, there are no specific rules that university institutional repositories must follow to be compliant with the ADA’s “public accommodation” standard.

Accessibility is a changeable, moveable wall, consistently and constantly needing to be additionally inclusive of more – more technology and more users, regardless of disability or limitations.

Institutional repositories should not become the crated Ark of the Covenant with their secrets locked inside; instead, they should be as open as possible to all, sharing the scholarship inside.

The institutional repository landscape in medical schools and academic health centers: a 2018 snapshot view and analysis

Objective

This study uses survey research methods to gain a deeper understanding of the institutional repository (IR) landscape in medical schools and academic health centers.

Methods

Members of the Association of Academic Health Sciences Libraries (AAHSL) were surveyed about their IRs. The authors used a mixed-methods approach of a survey and qualitative content analysis to identify common themes.

Results

Survey results indicate that a large majority of responding medical schools and academic health centers have or are implementing an IR (35 out of 50, 70%). Of these, 60% (21 institutions) participate in an institution-wide IR rather than administer their own repositories.

Much of the archived content is grey literature that has not already been published, but the percentage of original content varies greatly among institutions. The majority (57.1%) of respondent institutions are not considering an open access policy or mandate. Most institutions (71.4%) reported that repository staff are depositing materials on behalf of users.

DSpace and bepress Digital Commons are the most popular repository platforms in this community. The planned enhancements that were most frequently reported were implementing a discovery layer and ORCID integration. The majority of respondents (54.3%) do not plan to migrate to a different platform in the foreseeable future.

Analysis of respondent comments identified the following themes: integration, redundancy, and reporting; alternatives and exploration; uniqueness; participation; and funding and operations.

Conclusions

The study results capture a view of the IR landscape in medical schools and academic health centers and help readers understand what services their peers have in place as well as their plans for future developments.

Open Access in developing countries – attitudes and experiences of researchers

Open Access is often considered as particularly beneficial to researchers in the Global South. However, research into awareness of and attitudes to Open Access has been largely dominated by voices from the Global North.

A survey was conducted of 507 researchers from the developing world and connected to INASP’s AuthorAID project to ascertain experiences and attitudes to Open Access publishing.

The survey revealed problems for the researchers in gaining access to research literature in the first place. There was a very positive attitude to Open Access research and Open Access journals, but when selecting a journal in which to publish, Open Access was seen as a much less important criterion than factors relating to international reputation.

Overall, a majority of respondents had published in an Open Access journal and most of these had paid an article processing charge. Knowledge and use of self-archiving via repositories varied, and only around 20% had deposited their research in an institutional repository.

The study also examined attitudes to copyright, revealing most respondents had heard of Creative Commons licences and were positive about the sharing of research for educational use and dissemination, but there was unease about research being used for commercial purposes.

Respondents revealed a surprisingly positive stance towards openly sharing research data, although many revealed that they would need further guidance on how to do so. The survey also revealed that the majority had received emails from so called ‘predatory’ publishers and that a small minority had published in them.
